Shows & events
Run exhibitions and art fairs, and the openings and talks around them.
Two sections cover your public programming. Shows are the exhibitions and art fairs themselves. Events are the things that happen around them — openings, talks, walkthroughs.
Both are separate from your inventory: a show gathers works you already catalogued in Artworks, and deleting a show never deletes the works in it.
Shows
A show needs only a title to exist. Everything else — dates, venue, summary, press release — you can fill in as plans firm up.
Two things are worth setting early:
- Type — an exhibition or an art fair. Choosing art fair adds a booth number and a directory link. Switching a fair back to an exhibition clears both, so set the type before you fill them in.
- Visibility — private, unlisted, or public. New shows start private, so nothing goes public by accident.
Where a show sits in time
The list groups shows into On now, Upcoming, Past, and Cancelled, worked out from the dates you entered. Cancelling a show overrides its dates — it shows as cancelled whatever the calendar says, and you can reinstate it later.
A show with no dates at all sits outside those groups. It still exists and still appears under All, but it won't turn up in the other tabs, so give a show its dates when you know them. A show with a start and no end reads as On now indefinitely.
The artist line-up
Add artists to a show and drag them into order. That order is the billing order — the sequence the line-up reads in wherever the show is shown — so it's worth getting right rather than leaving alphabetical.
The checklist
Every show can open a checklist: the set of works in it. The checklist is an ordinary list, which means you can share it as a viewing room or export it as a price list or PDF like any other. The show's works, sold count, and sold value all come from it.
If your art fair isn't listed
When you pick an art fair and can't find it, you can suggest it by name. The suggestion goes to us to verify before it joins the shared fair directory, so it won't appear instantly.
Events
Events are your public programming: openings, talks, walkthroughs, performances, screenings. An event needs a title and a start date and time — unlike a show, the time is required, because an event is a moment rather than a run.
Times are entered and displayed in your gallery's timezone, which you set under Settings. You can attach an event to a show, give it a venue or a location, and add an external link for ticketing or RSVPs.
Events carry the same private, unlisted, and public visibility as shows, and also start private. There is no separate publish step — visibility is the control.
One quirk worth knowing: an event with a start but no end time is never counted as On now. Give an event an end time if you want it to read as happening now while it runs.
Who can see and change this
Both sections are part of the gallery programming area, so members whose role doesn't include it — a logistics handler, for instance — won't see either. Everyone else can read them; creating, editing, and deleting need editor access.
