Activity log
An append-only record of who changed what, across the gallery.
The activity log answers "who changed this, and when?". It records writes across the platform — works, invoices, sales, offers, payments, payables, contacts, deals, publications, members, and gallery settings.
Reading an entry
Each entry gives you a plain-language summary, linked to the record it concerns, plus who did it and when. Where a change altered specific fields, the entry shows them before and after, so you can see that a price went from one figure to another rather than just that "the work was updated".
Where the platform can't attribute an action to a person — an automated or system-driven change — the actor reads as "Someone" rather than guessing.
Finding something
Three filters, and they combine:
- Search across the summaries.
- Resource type — narrow to artworks, invoices, sales, offers, payments, payables, contacts, deals, publications, members, or gallery settings.
- A specific record, when you want one work's whole history.
Filters live in the page address, so a filtered view is a link you can send to a colleague.
The log pages fifty at a time, newest first.
What it isn't
This is the record of changes your team made. It is not collector engagement — room opens, views, and clicks live in the engagement report instead.
How long it's kept
The log is append-only and isn't pruned. Entries aren't edited or removed as records change, which is what makes it usable as an audit trail.
When someone exercises a data-deletion request, their personal details are scrubbed from the entries rather than the entries being deleted, so the shape of the history survives without holding personal data it shouldn't.
Who can see it
Gallery owners and organisation owners and admins. It's deliberately narrower than the rest of the gallery: an audit trail that everyone can read is a weaker audit trail.
