Gallery Platform Help

Settings

Where configuration lives, plus your gallery's details and branding.

Settings is the hub for everything you configure. It groups the cards into sections: Gallery, Team, Data model, Money, Integrations, Developer, Hardware.

Two things explain most of what you see there:

  • A card you have no permission for isn't shown at all. The hub doesn't tease settings you can't reach, so two colleagues can genuinely see different hubs. A whole section disappears when nothing in it is available to you.
  • A card your plan doesn't include is shown, marked Upgrade. It still opens, and the page explains what the feature does.

Some cards are marked Personal. Those configure you, not the gallery — your mailbox, your notification preferences, your assistant settings. Changing them affects nobody else.

General

General holds your gallery's identity and its defaults.

The title is required. A description is optional. Visibility — private, unlisted, or public — governs your gallery's own public presence.

Three defaults sit underneath, and they're worth getting right early because other things read them:

  • Reporting currency — the currency your reports convert into. Choose from the eleven major currencies offered.
  • Timezone — used for show and event times throughout the platform.
  • Auto-create payables when a sale is confirmed — on by default. Leave it on and consignor payables appear as sales settle. Turn it off and you generate them per sale instead.

Everything on the page saves together with one button.

If you're not an editor you'll see the description and visibility, but can't change them.

Gallery owners and organisation owners get a delete option at the bottom. It asks you to type the gallery's title to confirm, because it's not recoverable.

Branding

Branding is where your gallery's visual identity is set once and picked up everywhere.

Upload a logo, set an accent colour, and choose a font. Logos in Apple's HEIC format are converted for you.

That identity then flows into a lot of places, which is the point of setting it here rather than per document:

  • Every PDF you export — invoices, condition reports, consignment reports, consignor statements, insurance schedules.
  • Your viewing rooms, unless a room overrides it.
  • The pages collectors land on from an invoice, offer, or room link.
  • Offer emails.
  • The public checkout page.

A toggle controls whether exported PDFs carry a footer, with your own text — it defaults to the gallery name. You can also adjust the letter spacing of the gallery name in document headers.

Offer greeting and signature

The greeting and signature used on offers live here, so you write them once. Both accept a placeholder for the recipient's name, which is filled in when the offer sends.

Default caption fields

Choose which details appear in work captions across exports and rooms. Artist, title, and year always appear. Anything you choose here is a default — an individual export can still override it.

Branding is editor-only. Other members see a note saying so.
