Artists

The Artists section is your roster: everyone whose work you handle, what you hold, and what has sold.

The artist record

Only a name is required. Beyond that you can add a sort name (so "Lee Krasner" files under K), nationality, birth and death years, a biography, images, documents, and links.

The list shows each artist's works, the value you hold, sales over the last twelve months, and their most recent show. Money is converted into your gallery's reporting currency; where no exchange rate is available for a figure, you'll see a dash rather than a wrong number.

Relationship is worked out, not typed

You never set an artist's relationship directly. It follows from the representation you've recorded:

• Represented — an open representation with no end date, marked exclusive where you recorded it that way.
• Past — a representation you ended, shown with the year it ended.
• Exhibited only — no representation, but they've been in a show.
• None — on the roster, nothing recorded yet.

So to change how an artist reads, edit the representation on their record rather than looking for a relationship field.

Merging duplicates

If the same artist got entered twice, open one record and merge it into the other. The merge moves everything across — works, show line-ups, images, documents, representation history, and the linked contact — then deletes the record you merged away.

A merge cannot be undone. Check you have the right two records before you confirm.

Very large rosters

The roster loads up to 2,000 artists. Past that you'll see a notice telling you the list is truncated, and the total in the header is hidden rather than shown wrong. Search to reach a specific artist.

Connections

Connections is a different thing from the roster, and the distinction matters. A roster entry is a record you keep about an artist. A connection is a live link to an artist who runs their own studio account on the platform — a separate workspace they control, with their own login.

The page has two halves, because a workspace can sit on either side of the relationship:

• Galleries representing you — if you are a studio, the galleries you're connected to.
• Connected artist studios — if you are a gallery, the studios connected to you.

How a connection starts

You can't create one from this page. A connection exists only after an artist accepts an invitation and claims their studio account.

Send that invitation from the artist's own record, in the Studio account card: enter their email, and choose whether to share their profile. You can resend a pending invitation or revoke it. Only one invitation can be pending at a time.

The studio they claim is a full, separate workspace of their own, on the free plan. It is not a limited view of yours.

What the artist sees

You control what a connection discloses, from the artist's record. Three switches, each independent:

• Sale prices — off by default.
• Settlement — on by default, so an artist can see what they are owed.
• Show planning — off by default.

Sharing a specific show with a connected studio is a separate action. Be aware that it shows them the public-facing view of that show even if the show is still private — sharing is the decision, not the show's visibility setting.

Each shared show also gets a planning thread that only the two of you can see.

Pausing and disconnecting

You can pause a connection, which stops anything being shared while leaving the link in place, then resume it later.

Disconnecting is permanent. A disconnected link cannot be reactivated — the artist has to claim a fresh invitation to reconnect. As the gallery you can pause or disconnect; the studio on the other side can only disconnect.

Who can see and change this

Artists and Connections both sit in the gallery programming area, so a member whose role excludes it won't see either. Reading is open to everyone else; creating, merging, inviting, and changing disclosure switches need editor access.
